What we keep, and when

• Your email address, only when you give it: for a fee alert, a research request (which also signs you up for that club's fee alerts), a training watch, a request to add your area to the training finder, a report, a note to us, or a claim on a club's page. We use it only for that: an area request's address is kept with the area you picked (a metro region, or “elsewhere in” a state, never a street or a ZIP code) to tell you if we add it. Reports and notes are published without it, and a club never sees it. We keep it until you ask us to delete it: unsubscribing stops the mail but does not erase the address unless you ask. A training watch is the exception: its address is erased on its own (below).
• What you type into a form: the fees you report, a note, a club name. A fee you report goes up only after a person reads it, as the amount, its label and notes, and any source link you gave, never who sent it. Unread reports still count in three ways: one whose every amount is within 15% of a fee of the same kind already on the club's page counts at once as a parent agreeing; yes-or-no answers, such as whether you received financial aid, are tallied and shown from two; and the middle of parents' reports is shown to the next parent who reports, from three.
• A hashed copy of your network address on reports, notes, research requests, alert sign-ups, training prices, training watches, calendar answers, coaching answers and clubs' requests to check a program's answers or for a link to their coaching facts, to stop one person sending hundreds. For a coaching answer it is the network you answered from (your address, or on a newer IPv6 connection the block it belongs to), kept beside the program for two days, with a hash of your email that limits how many links one inbox is sent. The hash uses a random key that changes daily, and we erase each day's key and hashes at the end of the next day. Until then, and for the week our database host keeps its backups, whoever holds the key could work out the address; after that, no one can.
• Your answers about a program's coaching: eight choices, the club, program, boys or girls and season, your player's age group and the day you confirmed. We never store your email: it sends one link, and until you confirm, your answers wait sealed so that only that link can open them. Our email service keeps that mail 30 days (it names no club) and our database host keeps backups a week, so until about a week after you confirm, or two weeks after you send if you never confirm, the link and a backup together could show your answers beside your address. While the season is open, one-way codes of your email and network, made with a season key kept outside the database, stop one address answering a program twice or one network filling it alone; someone holding both our database and that key could use the codes to work out which answers an address gave. We don't use them that way, so we don't remove an answer on request. A week after the season closes on June 30, we destroy the key and the codes and remove the age group and day, unless a court order or legal demand requires us to keep them. Our own backups keep the answers, with age group and day, for 30 days and never hold the codes; by the end of August, once every backup and sent mail has rolled over, nothing in our records ties an answer to an email or a network. A club asking us to check how a program's answers arrived gives an address at its own domain; we send it one link and keep no address, only the day-keyed codes above for two days, and our email service keeps that mail, which names the club and the program, 30 days.
• A training price you report: the kind of training, session length, players in a session, sessions a month (or a camp's days), the price, and the town you pick from the list, kept as that town's name. Never a trainer's name, an email or a comment. The birth year the form asks first is checked and not kept. Prices are counted per town and kind of training and never shown one at a time; our analytics record only the kind and which page you came from.
• A watch on camps and training: your email address, what you watch (a school district's next break, one program or one provider) and its dates. We send one link to confirm; after that, at most one email a week, only when something new is posted, each with a link that stops the watch. A watch ends when its break or its program's next season starts, after 13 months, or when you stop it, and we erase the address within 30 days of the end. Our email service keeps each mail 30 days. Our analytics record only the kind of watch. The calendar feed of a district's breaks needs no email, and we keep nothing about who adds it to a calendar.
• A search runs on our server and is not kept. Our analytics record its length and your filters, never the words.
• On “Find clubs that fit,” the matching runs on your device, and your choices never go in a link. A place you type is looked up like a search. If you tap “Use my location,” your location stays on your device: the page asks us only for the clubs in the states around it. Our analytics record which options you picked and how many clubs showed, never the place.

Cookies and analytics

We set a random visitor id that lasts 13 months and a session id that lasts 30 idle minutes, both on pitchdreams.com, to count visitors and see which pages help. Events carry the page, what you clicked or chose, your city and region, your device, system and browser, and the site that sent you (or one word saying a link we handed out was shared or emailed); never your name, your address or anything you typed. They are deleted after 15 months. A 13-month cookie remembers if you supported the site, and one marks the people who run it, so their own visits are not counted as readers. Your browser's own storage keeps small things on your device, such as a saved comparison or the last state you picked. If your browser sends Global Privacy Control or Do Not Track, we do not count you at all: no event, no cookie. No advertising cookies, no third-party trackers.

Who processes it

The site runs on Vercel, the database is Supabase, email goes through Resend, and a payment to support the site happens on Stripe's own page, where we see nothing about your card. Clubs' websites are read with Anthropic's Claude and a hosted browser, Browserless; neither receives anything about you, except that a club you ask us to research is looked up with Claude by the name and town you typed, and its town is mapped with OpenStreetMap. Signing in is only for the person who runs the site: anyone else who signs in with Google is signed out at once, and we delete the account it made, with the email address and name Google shared. Each processor works under its own privacy terms.

About clubs and programs, never people

Fees come from clubs' public websites and public tax filings, and from parents' reports; families' coaching answers are counted per program and name no one. A club can claim its page, which lets it confirm the fees shown (each confirmed fee carries a badge); corrections go through the same report form as anyone's and are read before they change the page. To check a claim, we compare the address it gives with the club's own domain and with the addresses printed on the club's public website. A club can also confirm the coaching facts we show, or point us to a page of its own that states one, through a link we send to an address at its own domain. We keep no address, and our email service keeps that mail, which names the club, 30 days; we read the page ourselves and show only what it states. Families' answers are counted by the published rules, and a club cannot edit or remove them.

Children

This site is for parents, and only a parent or guardian answers the coaching questions. The training price form asks a birth year first, without saying why, and closes for anyone who may be under 18; the year is not kept. We do not knowingly collect anything from a child under 13; tell us and we will remove it. The page written for players, “Find clubs that fit you,” asks for no name, email or money figure, records no visit and sets no cookie. A place typed there is looked up on our server, like a search, and not kept.

Your rights

Email support@pitchdreams.com to see what we hold about you or to have it deleted (copies in backups expire within 30 days, unless the law requires us to keep them); every alert email after you confirm carries an unsubscribe link. Changes to this page are dated at the top.
